Deposit & Booking Procedure

Your function is confirmed on receipt of  this signed Toast Catering & Function Form. Should we not receive confirmation as stated, Toast café reserves the right to release the booking. Email confirmations are also excepted.

 

Payment Terms

All account are strictly 7 day terms. Please note that only credit cards, cash or bank cheques are accepted – company cheques must be given for authorisation 3 business days prior to the function. Any balance not paid within 7days of function is subject to an automatic 5% of the total balance owing. Amex incurs a 3% surcharge.

 

Food and Beverage Confirmation

We require the minimum of seven (7) days notice of your menu requirements, including food and beverage selections. Special dietary needs are also required at this time. Toast reserves the right to alter products to a similar product if the product is not available.

 

Cancellation

Cancellation of a confirmed booking must be received in writing. The following terms are applicable:

If cancellation is received inside 2 days of event, the entire estimated function is payable to Toast cafe.

 

Final Numbers

A guaranteed number of guests attending the function is required five (5) business days prior to the reception. From the point of confirmation of your order, you may increase but not decrease your numbers. Charges are based on the final head count or guaranteed numbers, whichever is the greater.

 

Consumption Policy

Toast café & catering is a gold licensed approved cater from the restaurant and caters Association. This means we abide to strict hygiene laws. We ask that the food is consumed within 2 hours of receiving delivery to avoid cross contamination.

 

Security

The organiser must conduct their function in full compliance with the rules and regulation of Toast café management and all applicable laws, including liquor laws (RSA), health and safety regulations and fire regulations.

 

Loss or Damage

Toast will take all necessary care but cannot take responsibility for damage or loss of objects or personal belongings left on the premises before, during or after the function.

The organiser is financially responsible for any damage sustained or loss incurred to Toast café & catering property, fixtures or fittings, whether through their own actions or the actions of their guests or contractors. Nothing is to be attached to any part of Toast café property without the prior written approval of Toast café management.

 

Deliveries

Toast must be notified in advance of any deliveries to be made. All items must be marked with the name, date and time of the function along with the number of items being delivered. Toast café delivers for a minimal charge of $44 for max 20 minute drive.  The platters must be returned by client or a collection fee will be charged of $44. Missing ceramic platters incur a fee of $100 or must be replaced within 7 days.

Strictly no food or beverage may be bought onto Toast cafe premises for consumption unless prior authorisation has been given by the management. There may be additional charges associated with this eg. Cakeage and corkage fees.

 

 

Management Reserves All Rights

Toast café management reserves the unconditional right to cancel any function without liability if unforseen circumstances arise. If such as situation did occur, Toast cafe commits to giving as much notice of cancellation as possible.

 

Cleaning

Normal cleaning costs are included in the cost of the room hire. Any additional cleaning requirements from the function which are considered to be over and above normal cleaning may incur additional charges for the function organiser.

 

Acceptance

On return of the signed Catering & Function Form, it is assumed the Hirer accepts the Terms and Conditions outlined as above.
